Job Description
Job duties include, but are not limited to:
Position Summary
We are seeking an experienced and motivated Lead Veterinary Receptionist to support front desk operations, guide the client service team, and help ensure a smooth and welcoming experience for both clients and patients. This role is ideal for someone who excels in customer service, enjoys mentoring others, and works closely with hospital leadership to maintain efficient daily operations.
Key Responsibilities
Client Service & Front Desk Operations
Provide exceptional client service by warmly greeting clients, answering phones, scheduling appointments, and managing check-in and check-out processes
Ensure accurate client and patient records within the practice management system
Communicate clearly with clients regarding appointments, services, estimates, and general hospital policies
Maintain a clean, organized, and professional reception and lobby area
Leadership & Team Support
Serve as a leader and resource for the reception team
Train, mentor, and assist with onboarding new client service representatives
Help coordinate daily front desk coverage, scheduling, and workflow
Foster a positive, collaborative, and supportive team environment
Provide feedback and assist with performance coaching in partnership with hospital leadership
Operations & Workflow Support
Help maintain efficient front desk operations and appointment flow
Assist with administrative tasks, including managing emails, reminders, and client communications
Support hospital initiatives that improve client experience and operational efficiency
Ensure adherence to hospital policies, procedures, and confidentiality standards
Client Communication
Provide clear, compassionate communication to clients regarding scheduling, services, and follow-up care
Help address client questions or concerns and escalate when appropriate
Support client education to help ensure the best care and experience for their pets
Qualifications
We’re looking for:
Required
Previous experience in a veterinary receptionist role, with experience in a lead or senior client service position preferred
Strong client service skills with the ability to communicate clearly and compassionately with clients and team members
Excellent organization, leadership, and problem-solving abilities
Ability to multitask and remain calm and professional in a fast-paced environment
Proficiency with scheduling, phone management, and client communication
Commitment to providing exceptional client experiences and supporting a positive team environment
Preferred
Prior experience training or mentoring reception or client service team members
Experience with veterinary practice management software and electronic medical record systems
Familiarity with scheduling coordination, workflow management, or front desk operations in a veterinary setting

Pay: $18-20/hr depending on experience
