We’re looking for:

The Hospital administrator’s responsibilities include veterinary practice administration, budgetary and operational planning and oversight, funds and resource management, data automation, marketing, and review/evaluation/analysis of the past and current performance of the practice. Partners with Reginal Field leadership and applies a suite of financial, client communication, and HRIS tools to ensure hospital management has adequate visibility of operations. Administer the management of all employees, including Veterinary Associates and the Health Care Team Members.

Job duties include, but are not limited to:

Human Resources:

Plans and schedules for optimal staffing to assure maximum productivity and service.
Directly recruits, interviews, and hires practice team members.
Plans, organizes, and facilitates regular team meetings.
Supervises practice team members and acts as the direct authority regarding performance, disciplinary procedures, separation, and all the legal aspects of employment.
Mediates all personnel problems and maintains team member morale and engagement.
Complete regularly scheduled performance reviews to maximize team member potential.
Responsible for the development and implementation of employment benefit programs.
Works with Learning and Development to maintain team member training programs to ensure:All team members are appropriately trained.
Team members are developed through a focused continuing education program.
Develops, reviews, and maintains a thorough set of employment policies and employee manuals.
Assist in establishing performance criteria for practitioners and conducting monthly financial meetings with associates; assist managing doctors with performance reviews of practitioners.
Financial:

Participate in the annual budget process and monthly review with managing doctors and regional leadership.
Oversee payroll processes to ensure the accuracy of time entries and PTO requests according to company policy.
Analyze and report key financial indicators. Develop strategies to address trends.
Manages accounts receivable and cash on hand.
Supports Inventory Manager with purchasing hospital supplies following the monthly budget program.  Partners with managing DVMs and Regional Manager for any major equipment purchases or repairs.
Oversee all onsite banking and cash deposit procedures. Reconcile bank deposits against practice management software.
Perform periodic reviews and analysis of fee schedules for services and products. Adjust as necessary to maximize profitability.
Review all accounts payable to ensure each is handled correctly and timely.
Establish and enforce client credit policies.
Marketing:

Work with Regional Operations and Marketing leads to facilitateInternal marketing/client retention
Reminder program
External marketing/new client development
Ensure marketing efforts are productive with a demonstrated ROI and within budget constraints
Analyze and report marketing efforts.
Manage and update website and social media marketing.
Address client questions and complaints.
Oversee delivery of consistent client education through relevant resources and team training.
Measure and report client satisfaction. Perform Client exit interviews.
Establish active role in local networks, including:
State VMA
Local veterinary managers groups
Practice Operations:

Oversee all client service activities. Implement strategies to improve the client/patient experience.
Analyze patient throughput and scheduling activities. Develop and implement strategies to maximize efficiency and client satisfaction.
Oversee and maintain an appropriate inventory system, including: Inventory reorder points to maximize annual inventory turns and ensure the practice has required items on hand.
Controlled substance ordering, tracking, security, and destruction within DEA regulations. Inventory purchases are within budget constraints.
Inventory levels are accurate and reported at regular intervals. Physical inventory counts are used to verify levels.
Establish and maintain vendor relationships.
Equipment and building are maintained to maximize useful life and minimize repair/maintenance costs.
Develop and maintain checklists and logs to track and report maintenance.
Organize facility and stock to ensure a safe and efficient work environment.
Work with veterinarian(s)/Managing Doctors to establish and maintain delivery of high-quality medicine, including:Written standards of care.
Medical record standards and audit procedures.
Review of all medical forms and update them as necessary.
Oversee all information technology resources and practice management software to maximize efficiency and minimize downtime. Ensure all team members are adequately trained in its use.
Law and Ethics:

Develop and maintain a Risk Management Plan.
Ensure that practice is compliant with all local, state, and federal laws and regulatory agencies, including:OSHA/OSHA Right to Know

FDA
City of Indianapolis
State of Indiana
Ensure practice and team members demonstrate high moral character and meet/exceed standards set by:AVMA Code of Ethics
Practice Statement of Ethics
Participates or stays familiar with contractual negotiations, including vendor agreements and employment contracts.
Oversee team member licensure and certification as needed.
Perform other duties as assigned.
Qualifications
Qualifications:

Bachelor’s degree in business or a related degree is preferred.
Experience in a hospital setting in positions of increased responsibility is a plus.
At least 3 years of management experience required; veterinary practice management experience preferred.
Compassionate, Calm, Team Player, Multi-Tasker and Strong Communicator
Highly organized and possess computer skills (veterinary practice management software preferred)
Self-starter with the desire to continue to advance your knowledge and skillset
Open availability with the flexibility to adjust hours based on the hospital’s needs.
