The Animal Emergency and Specialty Center of NWA is a well-established and growing emergency and critical care practice. We are the only after-hour facility in the Northwest Arkansas area and the only 24-hour ER in Arkansas at the moment. Our brand new, state-of-the-art facility is fully equipped with digital radiography, large touch screen monitors in all client rooms, Ultrasound, Idexx laboratories in-house, and a ForceTriad electrosurgical system. We also have CT and MRI capability in-house through referral. Just as important, we have a friendly, highly skilled, motivated, and fun-loving staff. As a team member at our practice, you would be working a combination of day, night, weekend, and holiday shifts. We are very flexible with scheduling and are willing to work around requests, within reason. Our practice is remarkably busy, so it is important for our staff to be able to handle high-stress situations, multitask well, and have good communication skills. Our technicians and assistants are highly utilized at the top of their skill sets and are constantly learning new techniques. We want our staff to be hands-on!

Key Responsibilities:
First Impressions Matter:
Greet clients and their pets with a warm and friendly demeanor.
Ensure a positive and welcoming atmosphere in the reception area.
Master of Multitasking:
Handle incoming calls, help keep clients calm and reassured, and respond to inquiries.
Efficiently manage clients and direct them to the appropriate departments.
Information Hub:
Collect and update patient information, medical histories, and payment details.
Provide clear and concise information about the clinic’s services, policies, and procedures.
Administrative Guru:
Assist in administrative tasks, including filing, data entry, and maintaining organized records.
Process payments and verify insurance information.
Team Support:
Collaborate with veterinarians, technicians, and support staff to ensure seamless patient care.
Communicate effectively with internal departments to relay crucial information.
Emergency Response:
Remain calm and composed during high-stress situations.
Follow established emergency protocols to facilitate quick and efficient responses.
Qualifications
Experience: Previous experience in a veterinary or medical receptionist role is highly preferred.
Communication Skills: Excellent verbal and written communication skills.
Customer Service: A customer-centric approach with a genuine love for animals.
Technology Proficiency: Comfortable using veterinary software, scheduling systems, and basic office applications.
Adaptability: Ability to thrive in a fast-paced environment and adapt to changing circumstances.
Empathy: A compassionate and empathetic attitude toward clients and their pets.
SPECIAL WORKING CONDITIONS
+ Ability to sit or stand and work at a computer for long periods of time.
+ Ability to be confident around animals (i.e., dogs, cats, birds, reptiles, etc. Candidate to confirm species treated with practice leadership for additional clarity.)
+ Client needs and work volume may occasionally require more than 40 hours per week to complete essential duties of this job. This position may require special working hours, including working weekends, evenings and/or holidays.
+ Must have mental capacity and processes for reasoning, remembering, mathematics and language ability (reading, writing, and speaking the English language) to perform the duties proficiently.
+ The noise level in the work environment is moderately high. Ear plugs will be available upon request.
+ Job requires sufficient ambulatory skills in order to perform required duties while working.
+ Ability to sit, stand, walk, stoop, kneel, crouch, and climb as well as manipulate (lift, carry, move) up to 50 pounds.
+ Requires good hand-eye coordination, arm-hand-finger dexterity with the ability to grasp, and visual acuity to use a keyboard and operate other equipment as required.
+ Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
+ Hospital teammates are routinely exposed to a variety of animals that may bite, kick or scratch, and on occasion, may be exposed to anesthesia, radiation, biological or zoonotic hazards and/or medication/controlled substances.
